Terms & Conditions
WE URGE YOU TO READ CAREFULLY THE FOLLOWING TERMS OF TRADING WHICH FORMS YOUR CONTRACT WITH IBT Travel Ltd.
We want you to know before your vacation that you will be fairly treated by IBT Travel Ltd. It is our main interest to ensure that you have the best vacation possible. To this end you can be confident that we have done everything to guarantee that all arrangements made on your behalf operate as smoothly as possible. When we receive your first payment, your reservation will be accepted and acknowledged by IBT Travel Ltd, who will then return a receipt and confirmation of reservation. A contract then comes into force, and both sides have a responsibility towards the other. Your responsibility is to pay IBT Travel Ltd the tour price in accordance with set out conditions; our responsibility is to provide you with the basis of the agreement between you and IBT Travel Ltd.
Your Promise to Us
No person or organisation should agree to reserve a tour unless they are prepared to accept the obligations involved. Our communication may be with one person who has the delegated authority to act on behalf of the other group members. The group leader must sign the booking form, which will be sent out with each quotation. This forms a contract between IBT Travel Ltd and you the client and all members of the party named in said form.However, the content of our terms and conditions apply to each individual passenger. By entering into this contract, every passenger has a responsibility to pay any deposit and the full cost when due. If you fail to make due payments we are entitled to terminate the contract. We may levy interest on all monies due at a rate of 2% for any calendar month, or part of a month, after the due date for payment.
No contract exists until IBT Travel Ltd has received the first payment (together with the names of your party) and has issued a confirmation of reservation. This contract is made on the terms of these trading conditions, which are governed by Scottish law, and both parties agree to conform to the jurisdiction of Scottish courts.
2. Deposit & Payment Schedule
The total cost of all arrangements together with the payment schedule will be confirmed in writing before you make your reservation.
In order to reserve your tour, a non-refundable first deposit is required. Please see section 7 for a full description of our cancellation procedure.
The balance of the tour is due 10 weeks prior to the date of departure.
If you make your reservation within 10 weeks of departure we require full payment.
The only variation to the above schedule should be by prior consent between the person making the reservation and IBT Travel Ltd who will issue written confirmation of such an agreement.
We will accept payment by Credit Card or Electronic Transfer.
3. Financial Protection
We are members of ABTA, holding number V 0847, which provides for your protection in the event of our insolvency.
4. Tour Prices
The price of your vacation will not be subject to currency surcharges. The only possible surcharges, which may be applied, are in connection with transport costs, or change in government legislation concerning Tour Operators (such as increases in, or imposition of VAT or other government taxes). Even in this case, we will absorb an amount equivalent to 2% of the vacation price, which excludes amendment charges. Only amounts in excess of this 2% will be surcharged. If this means paying more than 10% on the holiday price, you will be entitled to cancel your holiday with a full refund of all money paid except for any premium paid to us for amendment charges. Should you decide to cancel because of this, you must exercise your right to do so within 14 days from the issue date printed on the invoice. This guarantee is subject to all payments of first deposits and tour balances being made on or before the due date. Because we must absorb some increases in cost, we cannot give any refunds in the event of favourable currency movements. If a withdrawal, cancellation or cancellations reduce the number in the party below that which is required for a particular tour price then the tour price will be recalculated on the basis of the actual party size.
5. Alterations to the Reservation
If you need to make alterations to the details of the reservation, which we have confirmed, we will do our best to meet the request. If this involves a major alteration to the confirmed arrangements such as a change in departure date or accommodation, we might be liable for cancellation or amendment charges on your behalf, and because of this we must reserve the right to pass on any such charges to you. IBT Travel Ltd reserves the right to make minor alterations to the reservation. The sequence of the tours described in our brochure is given as a guide only and it may, on occasion, be necessary to make changes or substitute the order of golf courses and accommodation.
6. Travel Insurance
IBT Travel Ltd does not provide insurance cover and recommend that you have adequate luggage and accident insurance. It is essential for your own protection that you have sufficient insurance cover. For this you should check with your insurance company.
7. Cancelation Procedure
We understand that circumstances may arise which can result in the cancellation of one or more members of your party. However, we are sure you will appreciate that once your booking has been confirmed we begin to incur expenses on your behalf. We must, therefore, impose cancellation charges to cover our costs. The person responsible for making the booking must notify all cancellations to us in writing and charges will apply from the date this notification is received at our office. Individual members of your party may be able to reclaim some of these charges if the reason for cancellation is covered under the terms of your vacation insurance.Period before departure when written cancellation is received and cancellation as a percentage (%) of tours prices.

- 15-28 days: 80%
- 1-14 days: 90%
- Less than one day: 100%
8. Cancelation / Changes made by us
IBT Travel Ltd accepts all reservations subject to transportation and hotel accommodation being available. However, IBT Travel Ltd is unable to accept responsibility for tour arrangements affected by circumstances over which it has no direct control including but not limited to: war or the threat of war, terrorist activity or the threat of terrorist activity, political unrest, riots, civil commotion or strife, industrial disputes or strikes, natural disasters, fire, Acts of God, technical problems with transportation, closure of ports or airports, closure of roads or passes, quarantine, adverse weather conditions, governmental actions, or other circumstances held to be force majeure. In the event of your tour being affected by circumstances amounting to force majeure, IBT Travel Ltd reserves the right to alter or cancel your booking. If for any reason other than circumstances amounting to force majeure IBT Travel Ltd has to cancel a tour or make a material alteration to tour arrangements, the company will inform you without delay, and will offer another tour of comparable standard and price, or a full and prompt refund of all monies paid.
Great care has been taken in the production of our brochure to give you an accurate picture of the facilities available. If any change, which the Company believes will materially affect your enjoyment, becomes apparent in any of our descriptions, you will be advised. There are however circumstances beyond our control, such as religious festivals, local holidays, periods of maintenance and adverse weather conditions for which we cannot accept responsibility. To create the “atmosphere” of a certain type of holiday, occasionally photographs used on resort pages are general photographs and may not be specific to that resort.
10. Golf Etiquette and Handicaps
Most Golf Courses will ask for a valid handicap certificate and some courses have a maximum handicap limit. IBT Travel Ltd endorse this handicap viewpoint for the enjoyment of all true golfers and recommend that all golfers carry official handicap certificates from their home club which they must be asked to produce at any golf course.Appropriate attire should be worn on and off the Golf Courses. Golf shoes should be worn. IBT Travel Ltd can advise you on this when making a reservation. IBT Travel Ltd cannot be held responsible if Clients are not allowed to play because they are unable to meet these conditions.
At time of booking please state if you require caddies for your golf tour. Although caddies cannot be guaranteed IBT Travel Ltd will try their best to accommodate this request. All caddies requested if available on the day of play must be taken and paid for event if the client decides not to play. Caddie fees are not included in the tour unless requested.
12. Our Responsibility
When you contract with us to make a reservation we act as principal to you. When we have confirmed your reservation, a contract exists under which we accept responsibility for the provision of all the services described in our confirmation. IBT Travel Ltd accepts all responsibility for ensuring that the tour reserved is of a reasonable standard and is arranged with due care and diligence. We also accept responsibility for the acts and/ or omissions of this firm’s employees, agents and suppliers. IBT Travel Ltd will also accept responsibility should the services the firm has been contracted to provide prove deficient. Our liability will in all cases be limited to a maximum of twice the original holiday cost. In respect of carriage by air, sea and rail and the provision of accommodation our liability under this clause will be limited by the relevant international convention. If any tour service or its reasonable equivalent is not provided due to events beyond the control of IBT Travel Ltd, they will make an appropriate refund of that portion of the tour price covering the undelivered tour service but it is understood that IBT Travel Ltd shall have no other or further responsibility of liability either for the accuracy of any representation or the non-provision of any tour service stated.
13. If you have a complaint
If a problem arises you should report it as quickly as possible to our Representative or Agent and the Supplier so that efforts can be made to rectify it to your satisfaction. Our Representative or Emergency Contact can deal with most problems on the spot, so please do not wait until you get home before reporting a problem. If we are unable to resolve matters you must write to our Head Office within 30 days of return, explaining the problem fully. We undertake to acknowledge receipt of your letter within 14 days and within 28 days to send you a full reply or an explanation for the delay.
14. Personal Injury unconnected with your booked travel arrangements
If you, or any member of your party, suffer death, illness or injury arising out an activity which does not form part of your package travel arrangements or on an excursion arranged though us, we shall at our discretion, offer advice, guidance and assistance to help you in resolving any claim you may have against a third party, provided we are advised of the incidence within 90 days of its occurrence. Where legal action is contemplated, our written consent must be obtained prior to commencement of proceedings and our consent is subject to your undertaking to assign any costs received or any benefits received under any relevant insurance to us. Our costs in respect of the above on behalf of you and any member of your party shall not exceed $7,500 in total.
For U.S. Canadian or Japanese citizens a current full passport is required for travel to Scotland, Ireland and England. Citizens of other countries should check with the appropriate Embassy. For car rental all drivers must be over 21 years of age and have a current full drivers licence.
